Terms & Conditions

Dioratikos Pattern Room
Relational pattern intelligence for individuals as multisystem actors

Effective Date: October 1, 2025
Last Updated: October 30, 2025

1. Agreement to Terms

By engaging Dioratikos Pattern Room (“we,” “us,” “our”) for any service (Signal Review, Red Flag Review, or Pattern Review), you (“client,” “you,” “your”) agree to these Terms & Conditions in full.

If you do not agree to these terms, do not proceed with payment or engagement.

2. Nature of Services

2.1 What We Provide

Dioratikos Pattern Room provides pattern intelligence — the identification and mapping of invisible relational, behavioural, and emotional architecture within individuals in multisystem contexts. Emotional architecture refers to structural emotional dynamics, not emotional states, processing, or support.

We are NOT:

  • Consultants (we do not implement solutions)
  • Coaches (we do not provide ongoing personal development support)
  • Therapists (we do not provide mental health treatment)
  • Facilitators (we do not run workshops or team-building sessions)

We map what is invisible. What you do with that intelligence is your responsibility.

2.2 Service Descriptions

Signal Review

Purpose

To identify the invisible pattern shaping a specific relational, behavioural, or decision-based situation that feels unresolved, disproportionate, or destabilising.

A Signal Review focuses on one clearly defined situation where something feels “off” but cannot yet be named.

What this service does

  • Locates the underlying pattern influencing the situation
  • Identifies the pressure point maintaining it
  • Clarifies the stabilising move that changes how the situation is held

What it does not do

  • Provide advice, coping strategies, or action plans
  • Offer emotional processing or therapeutic support
  • Include live sessions or follow-up calls

Deliverables, timelines, and investment are defined on the Signal Review service page.

Red Flag Review

Purpose

To map invisible relational and behavioural risk before a high-stakes personal decision.

A Red Flag Review is used when a decision carries meaningful consequence and internal signals feel mixed, distorted, or unreliable.

Typical decision contexts include

  • Relationships or commitment decisions
  • Career or role changes
  • Financial or housing commitments
  • Family-related obligations or shifts

What this service does

  • Separates instinct from anxiety, projection, and inherited patterning
  • Identifies the specific risk architecture present
  • Clarifies what effort, reassurance, or logic will not resolve

What it does not do

  • Recommend what decision to make
  • Negotiate interpretation of findings
  • Offer reassurance or emotional containment

Deliverables, timelines, and investment are defined on the Red Flag Review service page.

Pattern Review

Purpose

To produce a full individual pattern map showing how the same organising pattern operates across multiple areas of a person’s life.

A Pattern Review is appropriate when repetition is systemic rather than situational.

This service addresses patterns that span

  • Relationships
  • Family dynamics
  • Money and responsibility
  • Work and authority
  • Rest, boundaries, and self-regulation

What this service does

  • Maps the core organising pattern across systems
  • Identifies how it stabilised originally and why it persists
  • Clarifies the consequences of maintaining the pattern
  • Defines the conditions required for structural change

What this service does not do

  • Provide ongoing support or monitoring
  • Replace therapy, coaching, or financial advice
  • Implement change on the client’s behalf

Deliverables, timelines, and investment are defined on the Pattern Review service page.

2.3 Who this work is not for

Services are available only to individuals aged 25 and over.

Pattern Room does not provide crisis support and is not suitable for individuals experiencing acute mental health distress, suicidal ideation, or active psychiatric episodes.

2.4 Method of Analysis

Pattern analysis is conducted through human interpretive judgement.

Assistive tools may be used for drafting, structuring, or formatting written materials, but not for pattern identification, interpretation, or determination.

3. Payment Terms

3.1 Payment Timing

All services require payment in advance.

3.2 Accepted Payment Methods

We accept payment via:

  • Bank transfer
  • Credit/debit card (via Paystack or approved payment processor)
  • Other methods as agreed in writing

All payments are in USD unless otherwise specified.

3.3 Currency & Conversion

If you are paying in a currency other than USD, the exchange rate used will be determined by your payment processor at the time of transaction. We are not responsible for exchange rate fluctuations or fees.

4. Refund Policy

4.1 Signal Review, Red Flag Review & Pattern Review

Because Dioratikos Pattern Room services involve intellectual analysis and pattern mapping, refunds are limited once analytical work has begun.

Before Analytical Work Begins

If you cancel before the intake has been reviewed and analytical work has commenced, you are eligible for a refund subject to an administrative fee.

  • A full refund will be issued minus a USD $500 administrative fee
  • Cancellation must be made in writing before intake analysis begins

Once the intake has been reviewed and the pattern analysis process has started, the engagement is considered active.

After Analytical Work Begins

Once intake review and pattern observation have begun, no refunds are provided.

This is because the core intellectual work of the engagement has already commenced, regardless of whether the final written output has been delivered.

Refunds are not provided due to:

  • Disagreement with findings
  • Discomfort with conclusions
  • Change of mind after submission
  • Preference for a different outcome

Pattern intelligence is observational, not collaborative or iterative.

Exception: “Not a Fit” Determination

In rare cases, Dioratikos Pattern Room may determine that continuing the engagement would not serve you or the integrity of the work.

This may occur if:

  • The pattern question falls outside our scope
  • The engagement is structurally misaligned
  • The work would require emotional or therapeutic support outside our remit
  • The client is not ready for the level of clarity the work produces

If we make this determination:

  • A 50% refund of the service fee will be issued
  • You will receive a written explanation outlining why continuing would not be valuable
  • We may recommend alternative resources or suggest a later time for re-engagement

This determination will be made within 48 hours of intake review and communicated in writing.

This is the only exception under which a partial refund is granted after analytical work has begun.

We reserve the right to decline or discontinue engagements that compromise the integrity of the work or violate stated boundaries.

4.2 No Refunds for Dissatisfaction with Findings

We do not provide refunds because you disagree with or dislike the pattern intelligence.

Pattern intelligence is observational and structural. It is not designed to validate your perspective or make you comfortable.

If the findings are uncomfortable, confronting, or contrary to your expectations, that is the work functioning as intended.

Refunds are only provided for:

  • Services not delivered as contracted
  • Mutual determination that the engagement is not a fit (within specified windows)
  • Cancellation before work has begun (minus administrative fee)

4.3 Refund Processing, Bank Charges & Currency Conversion

All refunds are processed using the original payment method where possible.

Please note:

  • All bank fees, payment processor fees, and transaction charges are non-refundable
  • Any currency conversion costs, exchange rate differences, or intermediary bank charges are the responsibility of the client
  • Dioratikos Pattern Room is not liable for fluctuations in exchange rates between the date of payment and the date of refund
  • Refunds will be issued net of all applicable fees, including:
    • payment processor fees (e.g. Paystack, card networks)
    • international transfer fees
    • intermediary or correspondent bank charges

The refunded amount may therefore differ from the original amount paid due to factors outside our control.

4.4 Non-transferability of services

Services are non-transferable and may not be assigned to another individual without written consent.

5. Confidentiality

5.1 What We Protect

Everything shared during our engagements is strictly confidential, including:

  • All interview content and recordings
  • Written reports and pattern maps
  • Email correspondence
  • Organisational details, names, and contexts

We will never:

  • Name you publicly as a client
  • Share your pattern intelligence in case studies, teaching, or marketing (even anonymised)
  • Discuss your engagement with other clients or third parties
  • Use your individual personal identifiable information in our pattern library entries without explicit written permission and full anonymisation

5.2 Who Can Access Pattern Intelligence

Pattern intelligence is shared only with:

  • The person who contracted the service (the “pattern question holder”)
  • Anyone explicitly designated in writing by the pattern question holder

If you want to share findings with your leadership team, board, co-founder, or other stakeholders, that is your decision. You must inform us in writing of who has access.

5.3 Exceptions to Confidentiality

We may disclose information if:

  • Required by law or court order
  • Necessary to protect against imminent harm to self or others
  • You provide explicit written permission

In all other cases, confidentiality is absolute.

5.4 Anonymised Pattern Library Use

We may, without your explicit written consent, create anonymised Pattern Library entries based on patterns observed in your engagement.

Anonymisation means:

  • No names, organisations, or identifying details
  • Context changed (e.g., industry, role, timeline)
  • Composite examples used instead of specific instances

You have full right to refuse this use. Refusal does not affect your engagement or deliverables.

6. Intellectual Property, Use & Attribution

6.1 Ownership of Deliverables

Once delivered, all written reports, pattern maps, and recordings are owned by you.

You may:

  • Use them for your own reflection and decision-making
  • Share them privately with individuals you choose (e.g. family members, partners, trusted advisors), at your discretion
  • Reference them internally to support conversations or decisions

You may NOT:

  • Resell, publish, or distribute them publicly (including online, in print, or in group settings)
  • Use them to teach, train, or replicate Dioratikos pattern intelligence methods
  • Claim authorship of the methodology, frameworks, or interpretive process
  • Present the material as a diagnosis, judgment, or assessment of any third party

6.2 No Third-Party Reliance or Attribution

All pattern intelligence is produced for you, based on the information you provide and the system you are navigating.

Accordingly:

  • No third party may rely on a pattern map as an assessment of them
  • Dioratikos Pattern Room does not evaluate, diagnose, or make claims about individuals who were not part of the engagement
  • Any conclusions drawn by others from shared material are outside the scope of the work and our responsibility

You agree not to represent the work as:

  • A verdict on another person
  • A character judgement
  • A clinical, psychological, or moral evaluation
  • A statement made to or about someone else by Dioratikos

6.3 No Duty to Clarify or Defend

Dioratikos Pattern Room has no obligation to:

  • Explain findings to people you share them with
  • Defend interpretations to third parties
  • Respond to complaints, objections, or emotional reactions from individuals who were not the client

If a third party takes issue with an interpretation you share, that conversation belongs to you, not to us.

6.4 Methodology & Process

The Dioratikos pattern intelligence methodology, including its frameworks, interpretive lenses, analytical processes, and language structures, remains the exclusive intellectual property of Dioratikos.

When you engage Pattern Room services, you are purchasing the application of this methodology to your specific context, resulting in:

  • pattern maps
  • written analyses
  • stabilising insights
  • structural interpretations

You are not purchasing:

  • the methodology itself
  • the right to reproduce or teach the process
  • permission to apply the Dioratikos frameworks to others
  • licence to represent yourself as practising pattern intelligence

This distinction matters.

Pattern intelligence is not a set of tools that can be lifted and reused. It is a disciplined interpretive process grounded in specific training, judgement, and boundary conditions.

Any attempt to replicate, adapt, or commercialise the methodology without explicit written permission constitutes unauthorised use of intellectual property.

7. Limitations of Liability

7.1 No Guarantees of Outcomes

Pattern Room provides pattern intelligence: the identification and mapping of invisible relational and behavioural structures shaping your decisions and experiences.

We do not guarantee:

  • that you will act on the intelligence provided
  • that acting on it will produce specific outcomes
  • that relationships, finances, work situations, or family dynamics will change
  • that discomfort, clarity, or relief will occur

What we do guarantee:

  • delivery of the service as described on the relevant service page
  • clear, honest pattern observation based on the information provided
  • written outputs delivered within the stated timelines, subject to Section 8

Pattern intelligence does not constitute legal, financial, medical, or professional advice.

Pattern intelligence creates visibility. What you do with that visibility is your responsibility.

7.2 Observational, Not Predictive

Pattern intelligence is observational, not predictive or diagnostic.

We map what is structurally visible at the time of engagement, based on:

  • the information you submit
  • the framing of the pattern question
  • observable relational and behavioural dynamics

If a pattern map later proves incomplete or inaccurate:

  • this does not constitute breach of contract
  • no refund is provided on that basis
  • you may provide feedback, which we may use for internal learning

Refunds apply only if contracted services are not delivered.

The distinction is simple:

✗ “I disagree with the interpretation” → Not grounds for refund
✓ “The service was not delivered as contracted” → Grounds for refund

Pattern intelligence is dependent on the completeness and accuracy of information provided in the intake. Incomplete, distorted, or selectively framed inputs materially affect interpretive accuracy.

Language used in pattern maps is functional and structural, not moral, diagnostic, or evaluative.

7.3 Maximum Liability

To the fullest extent permitted by law, Dioratikos Pattern Room’s total liability for any claim arising from an engagement is limited to the amount paid for that specific service.

We are not liable for:

  • decisions you make based on the pattern intelligence
  • consequences of action or inaction following delivery
  • relational, financial, professional, or personal outcomes
  • indirect, consequential, or opportunity costs
  • emotional distress resulting from confronting or uncomfortable insights

8. Timelines and Delays

8.1 Estimated Timelines

Timelines are estimates, not guarantees.

Typical delivery windows are:

  • Signal Review: 7 calendar days from intake completion
  • Red Flag Review: 14 calendar days from intake completion
  • Pattern Review: 30 calendar days from intake completion

Timelines may extend if:

  • intake information is incomplete or delayed
  • clarification is required before analysis can proceed
  • unforeseen circumstances occur

Any delay will be communicated in writing.

8.2 Client-Caused Delays

If delivery is delayed due to client actions, including:

  • incomplete or inaccurate intake information
  • delayed responses to clarification requests
  • late submission of required materials

No refund or timeline guarantee applies.

Delivery timelines will adjust accordingly.

8.3 Maximum Engagement Windows

To preserve the integrity of the work, each service must be completed within the following maximum windows:

  • Signal Review: 60 days from payment
  • Red Flag Review: 60 days from payment
  • Pattern Review: 90 days from payment

If completion is not possible within these windows:

  • the engagement will close automatically
  • all completed work will be delivered
  • refunds apply only if less than 50% of the contracted work was completed

Rationale: Pattern intelligence is time-sensitive. Delayed analysis degrades accuracy.

8.4 Provider-Caused Delays

If delivery is delayed due to circumstances on our side:

  • you will be notified promptly
  • a revised timeline will be proposed

If delays exceed 14 days:

  • you may wait with no additional charge, or
  • terminate and receive a refund for undelivered services

9. Termination and Pausing

9.1 Termination by Client

Signal Review, Red Flag Review, and Pattern Review are fixed-scope engagements.

Once analysis has begun, engagements proceed to completion and cannot be terminated mid-process.

9.2 Termination by Dioratikos Pattern Room

We reserve the right to terminate an engagement if:

  • payment is not received
  • client behaviour is abusive, coercive, or violates boundaries
  • the engagement is structurally misaligned or not a fit

If we terminate:

  • all completed work will be delivered
  • unused services will be refunded on a prorated basis
  • a written explanation will be provided

9.3 No Pausing

Pattern Room services cannot be paused.

If you need to disengage:

  • allow the engagement to complete, or
  • re-engage at a later time, subject to availability

10. Re-Engagement & Context Boundaries

Each Pattern Room service is treated as a standalone diagnostic engagement.

We do not carry forward, reference, or reinterpret material from previous submissions.

Each review is conducted solely within the bounds of the most recent intake, based on the information provided and the system state described at that time.

If a pattern recurs across engagements, it will surface again independently.

We do not:

  • re-explain or defend prior interpretations
  • reconcile new material with past pattern maps
  • update or revise previous findings
  • provide continuity analysis across submissions

This is intentional.

Each engagement is read as a bounded system state. Prior interpretations are not carried forward or reconciled.

This boundary protects clarity for both parties and prevents pattern work from becoming reassurance-seeking or interpretive negotiation.

11. Communication and Scope Boundaries

11.1 Communication

All communication occurs via email.

Response times during active engagements are within 48 business hours.

We do not offer:

  • real-time messaging
  • informal advice
  • emotional support between deliverables

11.2 Scope Limits

Out-of-scope requests include:

  • implementation support
  • coaching or guidance on what to do next
  • mediation with third parties
  • explanations or justifications for others

We will name scope limits clearly. This is not rejection. It is boundary clarity.

12. Force Majeure

Neither party is liable for failure to perform due to events beyond reasonable control.

If suspension exceeds 30 days, either party may terminate. Refunds apply only to undelivered services.

13. Dispute Resolution

Disputes will first be addressed in good faith via written communication.

If unresolved within 30 days, both parties agree to mediation before legal action.

14. Governing Law

These Terms are governed by the laws of Kenya.

15. Entire Agreement

These Terms, together with service-specific pages and intake forms, constitute the entire agreement.

No verbal assurances or informal communications override these Terms.

16. Severability

If any provision is unenforceable, the remaining provisions remain in effect.

17. Acknowledgement

By proceeding with payment, you confirm that you have read, understood, and accepted these Terms in full.
